Adding & Importing Horses
You can add horses one at a time with the Create Horse wizard, or bring in many at once by importing a CSV file or pulling records from USEF. The Create Horse and Import buttons appear on the Horses page when you have edit access to horses. (Import is hidden on mobile and smaller screens.)
Adding a horse with the wizard
- On the Horses page, click Create Horse.
- Work through the five steps, then save.
The wizard has these steps:

| Basic Info | The horse's name and show name, plus Sex, Color, Breed, Markings, Height (hands/inches), Weight, Sire, DAM, Foal Year, Microchip, Location, Stall Location, Date Occupancy Began, and Status, Health, and Function values. You can also add a profile photo. |
| Organizations | USEF number, membership, horse card and results links, and any organization registrations. |
| Docs | Documentation such as the Coggins certificate (with expiration) and insurance details, including file uploads. |
| Health | Health records for the horse. |
| Owner Info | Owner name, phone, email, and address. The owner is optional. |
Name and Sex on the Basic Info step are required. Use Next and Back to move between steps; on the final step the button reads Submit to save a new horse. When editing an existing horse you can jump directly to any step by clicking it, and save with Save.
Importing horses
- On the Horses page, click Import.
- In the Upload Horses dialog, choose CSV or USEF.
CSV import
- On the Upload CSV page, download the Sample CSV File link to see the expected columns and notes.
- Click the upload box or drag your file onto it to upload one
.csvfile. - After the file is processed, you're taken to a preview table of the horses found in the file.
- Review the rows. Rows with problems show "Invalid Value" (hover to see why) and can't be selected.
- Import the horses:
- Import Selected — imports only the rows you've checked.
- Import All — imports every row (available only when there are no rows with errors).
- On success you're returned to the Horses list.
If the file is empty, missing required headers, or otherwise invalid, you'll see an error message and can upload again.
USEF import
- On the USEF Import page, enter one or more USEF horse IDs in the search box, separated by commas. Each ID must be exactly 7 digits.
- Click the search icon to submit.
- Each ID returns a status message, for example:
- Imported — the horse was imported successfully.
- Already exists — a horse with that USEF ID is already in your barn (with a link to it).
- Consent required / requested — the owner must grant data-sharing consent through USEF; BarnManager requests it and the owner receives an email, or they can grant it on the USEF data-sharing page.
- USEF account not linked — link your USEF account on the Payment page first.
- Other errors explain why a horse couldn't be found or imported.
A table below the search box lists the USEF horses associated with your account.
