Products & Services

Products & Services is your catalog of billable items. You add items here once, then reuse them as line items on invoices, charges, and recurring charges.

The catalog

Open the Products & Services tab. Items are organized into three sub-tabs:

OthersMiscellaneous billable items (expenses now fall here).

Each item shows its Name, Description, Sub-category, and Price. You can search by name and filter by sub-category (type).

Add an item

  1. Choose the tab for the kind of item (Products, Services, or Others).
  2. Select Create Product / Create Service / Create Other Item (the label matches the tab).
  3. Fill in the fields:

Sub-categoryRequired. Pick an existing sub-category or type a new one to create it.
PriceRequired. Enter the price in dollars — BarnManager stores it in cents internally.

  1. Save.

Edit or delete an item

Use the menu (the three-dot icon) on any row to Edit or Delete. You can also select multiple rows and use Delete to remove them in bulk.

Editing items already in use

If you edit an item that is referenced by recurring charges, unbilled charges, or draft/unsent invoices, BarnManager asks whether to also update those existing entries:

  • Yes, update them — applies your changes to those existing charges and draft/unsent invoices.
  • No, keep as is — saves the new version without changing existing charges or invoices.

Active recurring charges are always updated to the new version regardless of your choice. Charges and invoices that are already finalized or paid are never changed.
