QuickBooks Integration
The QuickBooks integration lets you push your invoice and payment details into QuickBooks Online, so your accounting stays in sync with BarnManager.
Connecting QuickBooks
- Open the Quickbooks tab.
- If your account is not connected yet, you'll see a notice explaining the integration with a click here link to connect. (You can also start the connection from Settings.)
- Select the link. BarnManager sends you to Intuit (QuickBooks) to sign in and authorize the connection.
- After you approve access, Intuit redirects you back to BarnManager, which completes the connection automatically. You'll see "Connecting your QuickBooks account…" briefly, then a confirmation.
If you cancel or deny access on the Intuit screen, BarnManager shows that the connection was cancelled and returns you to Settings so you can try again.
Once connected, the Quickbooks tab shows your invoices instead of the connect notice.
Exporting and syncing invoices
From the Quickbooks tab you can push invoices to QuickBooks. The action label depends on whether an invoice already exists in QuickBooks:
| Label | Meaning |
|---|---|
| Export to QuickBooks | The invoice hasn't been sent to QuickBooks yet — this creates it there. |
| Sync to QuickBooks | The invoice already exists in QuickBooks — this updates it. |
| Export/Sync to QuickBooks | Appears on a bulk selection that mixes new and already-exported invoices. |
You can export or sync a single invoice from its row, or select several invoices and use the bulk button. Once an invoice exists in QuickBooks, you can open it directly in QuickBooks with View in QuickBooks.
Only finalized invoices can be exported or synced — Unsent, Sent, Overdue, Processing Payment, Partially Paid, and Paid. Draft and Voided invoices are not exported.
Filtering
The Quickbooks tab supports searching and filtering invoices by contact, horse, and date range so you can find the ones you want to export or sync.
