Records
Records keep a horse's history in one place: vet visits, vaccinations, farrier work, medications, leases, and more. Each record can be tied to one or more horses, carry notes and attachments, and be commented on by your team.
Records is an Essential-plan feature.
What a record is
A record documents something that happened for a horse (or a group of horses). Every record has a type, a date, an optional title, notes, and can include attachments and comments. Records can be pinned, archived, restored, duplicated, downloaded, and deleted.
Record types
When you create a record you choose one of the following types:
| Type | Use it for |
|---|---|
| Vet | Veterinary visits and exams |
| Dentist | Dental work and floating |
| Farrier | Shoeing and hoof care |
| Deworming | Deworming treatments |
| Medication | Medications administered |
| Vaccination | Vaccines given |
| Lease | Lease agreements and lease dates |
| Training | Training sessions and staff |
The records filter also includes an Other type for records that don't fit the categories above.
View records
- Go to Records.
- Use the filter bar to narrow the list:
| Filter | Options |
|---|---|
| Search | Free-text search |
| Horse | All Horses, or a specific horse |
| Show By | Activity (All, Archived) or a specific Record Type |
| Date Range | A start and end date |
| Sort By | Last Updated or Record Date |
| Sort Order | Ascending or Descending |
- Click a record to open it. On desktop the record opens in a side panel; on mobile it opens as a full page.
Opening an unread record marks it as read.
Add a record
- From Records, click Create Record. (From a horse's profile, the new record is pre-linked to that horse.)
- Choose the Type.
- Fill in the fields. Common fields include:
| Field | Notes |
|---|---|
| Title | A short name for the record |
| Date | When it happened |
| Horses | One or more horses the record applies to |
| Vendor | The vet, farrier, dentist, or other contact involved (the available vendor types depend on the record type) |
| Notes | Free-text details, edited in a notes editor |
| Tags | Optional labels for organizing records |
Some types add their own fields. For example, Medication and Deworming records capture the medication or compound/product name, Vaccination records capture the vaccine(s) given, and Lease records capture lease dates (start, extension, end, buyout) and the lessee/lessor.
- Save the record.
Smart Upload
The Smart Upload button on the Records page lets you upload a document (such as a vet invoice) and have its details read automatically to help pre-fill a new record. Review the suggested values before saving.
Edit a record
- Open the record, or open its menu from the list.
- Choose Edit.
- Update the fields and save.
Attachments
Records can hold file attachments such as PDFs, images, and documents. Attachments appear in a grid on the record; previewable files (images and PDFs) can be opened in place, and any attachment can be downloaded. You add attachments while creating or editing a record.
Comments
Each record has a comments section so your team can discuss it. Comments show who wrote them and when.
Record actions
From a record's menu (the three-dot menu in the list, side panel, or detail page) you can:
| Action | What it does |
|---|---|
| Pin | Keeps the record at the top |
| Download | Downloads the record |
| Duplicate | Creates a copy you can adjust |
| Edit | Opens the record for editing |
| Archive / Restore | Moves a record out of the active list, or brings it back |
| Delete | Permanently removes the record (admins only) |
Editing, duplicating, and archiving require records write access. Deleting is restricted to admins. For details on roles, see Users & Permissions.
The per-horse Records tab
Each horse profile has a Records tab that shows the same Records view filtered to that horse. Creating a record from there links it to the horse automatically. This is the quickest way to see one horse's full history.
